This policy explains how Coach Ready Sports handles information when you use our website and Coach Ready coaching apps, including Baseball and Football. Coach Ready is designed for adult coaches, team administrators, and guardians—not for children to create or manage their own accounts.
1. Information handled by Coach Ready
Depending on the features you use, Coach Ready may handle your email address and team-sharing role; team names; roster names, numbers, positions, and coach notes; practices and timer progress; attendance; game information and coach-entered statistics; saved drills and playbooks; locally saved development plans; support messages; Apple subscription and entitlement information; and limited technical data such as IP address, request identifiers, response status, and error type.
Most coaching information is stored on your device. Free features do not require a Coach Ready account. Paid-plan owners may optionally enable team sharing, which stores a synchronized copy of the coaching information they choose to share.
2. AI Player Development
Before an AI development request is sent, the app displays a disclosure and requires the coach’s consent. The request may include the team age group, selected Canadian or U.S. football format, development focus, coach-entered football observations and goal, and eligible audited drill identifiers and coaching metadata.
The selected player’s saved name is removed from coach-entered text before transmission. Roster identifiers, team names, and email addresses are not sent to OpenAI. A StoreKit transaction credential is sent only to the secure Coach Ready service so the service can verify an active Apple entitlement; it is not sent to OpenAI.
OpenAI processes the limited request data to generate football coaching feedback. Coach Ready requests no application-state storage by OpenAI using store: false. OpenAI may retain API inputs and outputs in abuse-monitoring logs for up to 30 days under its standard API practices. Coaches can withdraw consent at any time by not making another AI request.
3. AI Video Analyzer
When an Elite coach chooses Analyze video, the coach-selected MOV, MP4, or M4V clip is uploaded to the secure Coach Ready service together with the selected movement, team age group, eligible drill metadata, consent version, and Apple entitlement credential. Coaches should upload only clips they are authorized to use.
The saved roster name and roster identifier remain on the device. The service extracts a limited set of frames for analysis by OpenAI, returns football-specific coaching feedback, and removes the uploaded clip and extracted frames from temporary storage after the request succeeds or fails. The returned feedback is linked to the selected player only on the coach’s device or within team data the coach has chosen to synchronize.
4. Team sharing, email, and Apple services
Optional paid-plan team sharing stores owner and invited-coach email addresses, one-way hashes of sign-in and invitation codes, one-way hashes of session tokens, team membership roles, plan tier, and synchronized coaching information. Codes are sent through a transactional email provider. Authentication codes expire after 10 minutes, invitation codes after 48 hours, and device sessions after 30 days.
Apple processes purchases and provides product and entitlement information through StoreKit. When a coach chooses Add to Apple Calendar, Coach Ready opens Apple’s system calendar editor so the coach can review, change, save, or cancel the event.
5. How we use and disclose information
We use information to provide requested coaching features, verify subscriptions, synchronize authorized teams, deliver access codes, provide support, protect the service, enforce usage limits, and diagnose errors. We do not sell personal information, use it for cross-company advertising, or include an advertising or third-party analytics SDK in the apps.
Information may be processed by service providers that perform hosting, database, backup, transactional email, Apple entitlement verification, and OpenAI processing. We may also disclose information when required by law or when reasonably necessary to protect users, the service, or legal rights.
6. Retention and deletion
Device-only information remains until the coach deletes it, changes the applicable team profile, clears the app’s data, or removes the app. Individual AI development plans can be deleted in the app. The Coach Ready AI service does not intentionally retain coach observations, development goals, generated plan text, uploaded video, or extracted video frames after completing a request.
Shared team information remains while the team-sharing service is active. Every team-sharing account includes an in-app deletion control. Deleting an owner account deletes teams owned by that account; deleting a coach account removes that coach’s memberships. Revoking a pending invitation deletes it and invalidates its code. Removing an active coach ends that coach’s access but does not delete the team information that remains under the owner’s control.
Deleted database records and transactional-email or infrastructure records may remain in encrypted backups or limited security logs for up to 30 days before being overwritten, unless a longer period is required for fraud prevention, legal compliance, or resolution of a documented dispute. Operational logs are designed not to contain coaching request text, generated plans, StoreKit credentials, sign-in codes, or synchronized team snapshots.
7. Youth information, safety, and security
Adults should enter only information they are authorized to manage and should avoid unnecessary sensitive information about youth players. AI features are limited to observable sports performance and are not intended for medical, injury, concussion, rehabilitation, diet, medication, or supplement guidance.
We use reasonable administrative, technical, and organizational safeguards intended to protect information, but no electronic system can guarantee absolute security.
8. Your choices and contact
You can limit what you enter, decline AI consent, delete locally saved plans, sign out, manage team members, use the in-app account deletion control, and manage Apple subscriptions through your Apple account. For access, correction, deletion, or other privacy requests, email support@coachreadysports.com from the address associated with your account.
We may update this policy as Coach Ready evolves. Material changes will be reflected by a revised effective date on this page.
